Operations Associate
Work Location:  Troy, MI 48098 (In person)

We are looking for an Operations Associate who takes pride in accuracy, organization, and service. This is a critical role within the firm, ensuring client requests are handled efficiently and that our advisory teams have the timely, accurate information they need to provide outstanding financial planning and client support.

The Operations Associate plays a key role in supporting the firm’s day-to-day operational and administrative functions. This position ensures smooth back-office operations, accurate client recordkeeping, and adherence to compliance and regulatory requirements. The ideal candidate is organized, proactive, and committed to delivering a high level of service to both clients and internal teams.

Responsibilities & Activities:

· Prepare and process new account applications and account maintenance documents with accuracy and attention to detail.

· Handle check deposits and maintain proper documentation for compliance tracking.

· Support firm compliance procedures, including maintaining check logs and recording correspondence in accordance with regulatory guidelines.

· Serve as backup for Office Administrator tasks, including answering phones, sorting mail, and greeting clients.

· Ensure all client data is accurately maintained in the firm’s CRM system.

· Coordinate and mail client documents and correspondence in a timely manner.

· Establish and maintain client files in compliance with regulatory and internal standards.

· Facilitate estate related changes (eg: Client Death Claims).

· Prepare and submit Financial Planning Agreements as part of client onboarding and servicing.

· Assist in audit preparation and respond to information requests during regulatory reviews.

· Adhere to firm defined service and turnaround benchmarks.

· Perform other duties and special projects as assigned by management.

Education: Bachelor's (Required)

Client Service Associate
Work Location:  Troy, MI 48098 (In person)

This role is essential in supporting the firm’s advisors and delivering an exceptional client experience. A Client Service Associate plays a key role in preparing for client meetings, maintaining financial and investment data, supporting operational processes, and ensuring timely follow-up with clients and internal teams.

Responsibilities & Activities:

Client Meeting & Communication Support

· Prepare materials and data for client meetings with limited oversight from the Wealth Advisor (WA)

· Draft meeting notes and follow-up letters

· Schedule and manage the client review calendar to ensure timely and efficient reviews

· Coordinate delivery of tax documents and assist with client onboarding

· Address basic client questions under guidance of the WA

· Assist clients with access to and navigation of online portals and financial technology

Financial Planning & Investment Support

· Update and maintain financial plans using tools such as eMoney, Holistiplan, or similar platforms

· Demonstrate a basic understanding of SFP model portfolios, investment philosophy, and current economic/market conditions

· Run and interpret investment and analysis reports to support client conversations

Data Management & CRM Oversight

· Ensure client information is up to date and accurate in the firm’s CRM system

· Track and communicate turnaround times and status of operational requests to both the WA and clients

· Work closely with the SFP Operations Team to ensure timely and accurate completion of tasks

Operations Support

· Back up to operations job duties with prepping paperwork, processing checks & answering phones

Knowledge, Skills & Experience

· Bachelor’s degree in a finance related field from an accredited institution

· Minimum 3 years related experience with an investment management/advisory firm

· Strong verbal and written communication skills with a confident ability to engage with clients and prospective clients

· Detail orientation with excellent organizational and time management skills

· Demonstrated ability to build financial plans grounded in fundamental financial disciplines

· Knowledge of and, more importantly, curiosity to learn financial markets and investment securities

· Ability to multi-task in a smaller team environment

· Demonstrated client service orientation

Helpful but not required

· Experience with financial planning software (e.g. eMoney, MoneyGuide Pro)

· Experience with CRM Software (e.g. Wealthbox)

· Experience with tax planning software (e.g. Holistiplan)
