Client Service Associate

Work Location:  Troy, MI 48098 (In Person)

 

The Client Service Associate plays a crucial role in delivering an exceptional client experience and supporting the firm’s daily back-office operations. This position involves supporting the firm’s advisors, preparing for client meetings, maintaining financial and investment data, and ensuring timely follow-up with clients. In addition, this role is responsible for maintaining operational efficiency, handling administrative and compliance-related tasks, and ensuring all documentation and regulatory requirements are met accurately and on time.


Responsibilities & Activities:

 

Client Service & Communication Support

· Support the planning department in preparing for client meetings

· Draft meeting notes and follow-up letters

· Schedule and manage the client review calendar to ensure timely and efficient reviews

· Coordinate delivery of tax documents and assist with client onboarding

· Address basic client questions under guidance of the Wealth Advisor (WA)

· Assist clients with access to and navigation of online portals and financial technology

· First point of contact for client communication

Data Management & CRM Oversight

· Ensure client information is up to date and accurate in the firm’s CRM system

· Track and communicate turnaround times and status of operational requests to both the WA and clients

Operations Support

· Prepare and process new account applications and account maintenance documents with accuracy and attention to detail.

· Handle check deposits and maintain proper documentation for compliance tracking.

· Serve as backup for Office Administrator tasks, including answering phones, sorting mail, and greeting clients.

· Coordinate and mail client documents and correspondence in a timely manner.

· Establish and maintain client files in compliance with regulatory and internal standards.

· Facilitate estate related changes (eg: Client Death Claims).

· Prepare and submit Financial Planning Agreements as part of client onboarding and servicing.

· Adhere to firm defined service and turnaround benchmarks.

· Perform other duties and special projects as assigned by management.

Knowledge, Skills & Experience

· Minimum 3 years related experience with an investment management/advisory firm/client service role

· Strong verbal and written communication skills with a confident ability to engage with clients and prospective clients

· Detail oriented with excellent organizational and time management skills

· Ability to multi-task in a smaller team environment

· Demonstrated exceptional client service skills

Helpful but not required

· Experience with CRM Software (e.g. Wealthbox)

· Experience with Schwab & Fidelity


Education: Bachelor's (Required)
Experience:
Financial Services/Wealth Management: 2 years (Required)

Expected hours: 40.0 per week

Pay: From $65,000.00 per year ($28.85 per hour)
